General Terms and Conditions Canal Clubhouse (part of Collective Builder) 2025
These general terms and conditions form part of every agreement for the rental of space and facilities and for arrangements and agreements concerning catering entered into by Canal Clubhouse (part of Collective Builder; hereafter Canal Clubhouse) and third parties. Amendments to the provisions contained in these rules and conditions are reserved exclusively for Canal Clubhouse.
GENERAL
- All quotations issued are valid for 2 weeks, unless explicitly stated otherwise in the quotation. If the programme and/or number of guests is unilaterally changed, the validity of the quotation may immediately lapse.
- Canal Clubhouse reserves the right to refuse assignments or terminate gatherings if these could harm the interests of Canal Clubhouse, or if government regulations or these terms and conditions are violated.
- Exceptions to the conditions and rules are only possible with prior written consent from the management. Collective Builder, its management and staff remain indemnified against claims from third parties. The management can never be held liable for direct or consequential damages of clients if scheduled events do not take place.
GATHERINGS
- The costs for actual beverage consumption will be calculated afterwards, unless agreed otherwise. Additional work carried out at the client’s request that does not form part of the agreement will be charged by Canal Clubhouse to the client.
- Up to a maximum of 5 working days prior to your gathering you may amend the catering and/or number of guests, unless explicitly stated otherwise in the quotation.
- Disturbance to the surroundings must always be avoided. Our venue is located in a quiet part of the historic city centre and we value the good relationship with our neighbours.
- Leaving items behind is entirely at your own risk, and the management of Canal Clubhouse cannot in any way be held liable for lost articles.
- Canal Clubhouse reserves the right to recover from the client any damage caused to the property.
- Anyone renting or making use of Canal Clubhouse for a gathering is liable for all direct and indirect damage caused to the building and its surroundings, as well as to the inventory, including artworks, whether or not as a result of failure to comply with these terms and conditions.
- Instructions from the event manager, security staff and other persons appointed by the management, as well as instructions issued by the Municipality, Police, Fire Brigade and Public Health Service (GGD), must be followed immediately and precisely.
- All companies and their staff engaged by Canal Clubhouse or by third parties must comply with the above conditions and rules.
PAYMENT TERMS
- Collective Builder applies a payment term of 14 days.
- For gatherings with a value of at least €1,000 per person, a 50% advance invoice of the total amount will be charged. The remaining balance must be paid within 14 days after the date of the final invoice.
- All rates mentioned are subject to change. All prices are exclusive of VAT, unless stated otherwise (currently 9% for food and non-alcoholic beverages, 21% for other items).
- At Canal Clubhouse, we allow for a 30-minute overrun. For longer use, we are obliged to charge a surcharge.
CANCELLATION
- Up to 2 working days before the gathering it is possible to amend small booking details, although this cannot always be guaranteed. Confirmation from the Canal Clubhouse is always required. For reservations, we apply the following conditions:
- Within 24 hours: 100% of the total amount will be charged
- From 14 days in advance: cancellation free of charge
- Between 8 and 14 days in advance: 25% of the rental price will be charged
- Within 7 days in advance: 50% of the total amount will be charged
